PC-EFTPOS Integration - Implementation Process

Mandalay Ticketing can be integrated with EFTPOS terminals through a 3rd Party product called PC-EFTPOS. This allows the ticket price information to pass automatically from the Mandalay CS Ticketing module to the EFTPOS terminal.

Outcome - Ticketing Overview

This section describes the Ticketing Process and the benefits of PC-EFTPOS Integration, if you wish to view screenshots and the technical details, please refer to the PC-EFTPOS Technical Overview .

  1. Weighbridge Operator processes a transaction in MandalayCS Ticketing Module
  2. Weighbridge Operator selects “Payment Type”: EFTPOS
  3. EFTPOS terminal:

a. The $ amount of the transaction is transmitted to the EFTPOS terminal

b. The Ticketing Operator processes the payment using the client’s bank card/credit card

c. Once the payment is confirmed on the EFTPOS Terminal, the transaction is completed in the MandalayCS Ticketing Module

  • Automates EFTPOS payment processing
  • Reduces the possibility of keying error
  • Transaction payment methods are tracked and auditable

How to install

  1. Contact your Bank to coordinate the installation of the PC-EFTPOS client software on the local PC, and the supply, installation and configuration of the integrated EFTPOS Terminal.

a. Finance to request - This functionality requires the installation of the PC-EFTPOS software, which is provided by the Bank, to be installed on the local PC with your specific bank settings. This request needs to come from someone from within your organisation who is authorized to contact the Bank directly.

b. Installation – the Bank will send the integrated EFTPOS terminal to the site, and coordinate a PC-EFTPOS technician to attend site and perform the installation and configuration of the EFTPOS terminal software and hardware.  They will require Administrator access to the POS PC to be able to install the software on the device and configure the comports. Please coordinate this access on the day that it is required.

 2.     Please confirm you will proceed with this module by contacting Mandalay and we will make the required system changes.  

a. MandalayCS System Configuration – this is a subscription module of MandalayCS, and will be enabled upon confirmation.

b. MandalayCS Admin - Payment Type Settings - In addition, the EFTPOS Payment type will need to be configured to send a transmission from Mandalay.  

Things to consider

  4. Bank terminals – refer to the PC-EFTPOS article for supported terminals (https://pceftpos.com/bank-supported-pinpads/) -  these devices are in a fast technology cycle and your financial institution will liaise with you as to which model they will supply.
  5. PC-EFTPOS Functionality & Settings Considerations

a. Manual override – ensure the device can be toggled between Stand Alone/Integrated modes for business continuity. This needs to be enabled by the Financial Institution.  (This is not available with Commbank or NAB).  Ensure that sites have business processes/business continuity plans to handle scenarios when PC-EFTPOS Integration is not operational. (E.g. a back up “Stand alone” EFTPOS Terminal.)

b. Paper Receipts – this needs to be configured by the PC-EFTPOS technician in the PC-EFTPOS Software, and will need to be advised to the PC-EFTPOS technician during the install. (PC-EFTPOS Technician Processes listed below.)

  • Option 1 – Print a separate receipt at the EFTPOS terminal – the customer will receive a Mandalay printed ticket and a separate EFTPOS terminal docket
  • Option 2 - Print continuous receipt at the bottom of the ticket –the customer will receive a single docket (like Coles/Woolworths). This is not often selected as Transaction Ticket paper is more expensive than the smaller Receipt paper rolls, and a merchant receipt copy can’t be produced.
  1. EFTPOS Terminal operations – For all functions that are handled by the EFTPOS terminal, the client will need to refer to the supporting documentation provided by the Bank for that particular model. Mandalay does not train or advise on how to perform these activities as they are outside of the scope of the Mandalay environment, the Bank will be able to guide you on these activities.  It is advised that the Ticketing Operator is aware of how to perform the required operations on the EFTPOS Terminal, which includes:
    • Processing a payment for a damaged card
    • Processing a refund or payment independent of the POS software
    • End of day settlement for reconciliation
    • Processing a MOTO payment - MOTO is the ability to process credit card transactions when the card is not present.  MOTO processing functionality is not automatically available; it is enabled/disabled by the Bank and must be supported by the POS.

NB: These processes require permissions which are defined by the bank in the merchant’s application form and are enabled/disabled by the bank - this can be performed over the phone.  Please contact your Bank to coordinate, or advise on usage.

  1. PC-EFTPOS charges - please verify this with your Bank. Generally, the initial PC-EFTPOS installation charge is covered by the Bank, any subsequent services provided by PC-EFTPOS may incur charges.  (NB: if you already have PC-EFTPOS installed elsewhere in your organization, it would be advised to check with your Bank regarding additional charges.
  2. MandalayCS Ticketing (Point of Sale Software, POS) - The POS software controls the transaction amount – refer to the "Payment Processing" section of the Mandalay PC-EFTPOS Technical overview document:
    • Ticketing process - PC-EFTPOS Technical Overview
    • Refunds - Processing a refund is the reverse of this process which is initiated by using the “Reverse” button in MandalayCS, as per standard ticketing processes.
  3. Troubleshooting  – when issues are encountered, it is important to contact the corresponding entity:
    • EFTPOS Terminal – Bank/Financial institution.  This includes any issues with errors or payment processing activities outside of MandalayCS (POS)
    • Installation issues – PC-EFTPOS.  This includes any issues with where the payment receipt is printing.

PC-EFTPOS Technician Processes

Installation - Software & Hardware

The PC-EFTPOS Technician will follow the process as listed on the PC-EFTPOS website to install the PC-EFTPOS Client and the integrated EFTPOS Terminal. A copy of this document is attached below.  Upon completion, the PC-EFTPOS Technician should also test the transmission to the bank by following the Transmission to Bank Test - "PC-EFTPOS Logon Test "procedures listed below.

The following section is included for troubleshooting if the PC-EFTPOS installation isn't fully completed by the PC-EFTPOS Technician.  

Once the PC-EFTPOS Technician has performed steps 2. EFTPOS Terminal Hardware Install and  Configure, and 3. PC-EFTPOS Software client install of the attached PC-EFTPOS Installation guide, then please ensure the PC-EFTPOS technician completes the following "Logon Test" to ensure an end-to-end transmission can be successfully processed from the PC-EFTPOS Client (located on the C drive of the POS PC) -> EFTPOS Terminal -> Bank.

Logon Test

  1. Select the Windows System Tray Icon to reveal hidden icons
  2. Select the PC-EFTPOS Client by double clicking on it
  3. Select "Ctrl Panel" to open the control panel
  4. Select the "Logon" button, on the "EFTPOS (F2) Tab", to initiate a transmission test
  5. Wait for the "Logon Success" response, which indicates that the PC-EFTPOS Client is able to communicate to the bank.

If the test fails, then ensure that the installation procedures for steps 2. EFTPOS Terminal Hardware Install and  Configure, and 3. PC-EFTPOS Software client install of the attached PC-EFTPOS Installation guide have been completed correctly.  If the test is still failing, then escalate to PC-EFTPOS.

PC-EFTPOS Process - Receipt Printing - How to enable the receipt to print to the EFTPOS terminal

Where the receipt prints is a business decision that the PC-EFTPOS technician can configure on the PC-EFTPOS client software.  If the business requirement is for the receipt to print in-line with the transaction ticket, then the MandalayCS network printer must be configured here.  To have the EFTPOS terminal print receipts, rather than the docket printer, the PC-EFTPOS technician will need to amend the printer configuration settings in the PC-EFTPOS client software.

Printer Settings

  1. Locate the PC-EFTPOS client icon in the Windows System Tray (follow the process list in steps 1 & 2, of the Transmission to Bank Test - "PC-EFTPOS Logon Test"
  2. The following window will open, please note the highlighted area should be blank by default
  3. Edit the Printer field to "NPT" as shown
  4. Select "Apply"
  5. EFTPOS receipts will now be sent to the EFTPOS terminal

Note: if you require a Merchant Copy of the receipt for your finance processes, than this process must be followed.  Merchant receipt copies can not be issued from the MandalayCS software.
