How to start a prepaid account
Mandalay CS is able to generate and manage prepaid accounts for cash customers that plan on making a number of transactions for a period of time but would like to pay for this in advance. This can be helpful for managing temporary credit granted to charity organisations.
The following steps will show how to create a prepaid account that can be used for multiple vehicles if necessary.
Note: The pay later feature is not turned on by default in the Mandalay CS ticketing program so please contact your system administrator if unsure.
Cash Tendering Screen
To be able to start a prepaid account the Cash Tendering screen must be displayed. To get to this screen the client must be a cash client.
- Once presented with this screen select the PREPAID payment type that is used to add money to the account. Note: This could be Cash if cash was used.
- Enter the amount being added to the prepaid account.
Start a Perpaid Account
Click on the Start (Prepay) button.
Enter Details for the Account
In this screen you will need to enter any details that have been configured as required when starting a temporary account. Mandatory items are in yellow. It is possible to search for existing details if they have already been captured
Driver Details
Enter in the driver the details and select the Find button to search for any existing details.
Search Results
Select item from list if applicable
Payer Details
Enter any details for the Payer. Mandatory items are in yellow. The Find button is available for payer details.
Driver is Payer
If the driver is the person that is responsible for paying out the account then check the Driver is Payer option. This will automatically bring down the details from the driver.
Notes
Add any notes required for this account.
Allowing other vehicle to use account
If the account is needed across multiple vehicles then the the Allow other vehicles must be checked and a payment reference entered. This payment reference is then used by other vehicles to reference this prepaid account.
Confirm changes to existing contact
If any details provided for either the Driver or Payer are different to what is currently entered then the system will prompt to confirm if the existing contact should be updated or a new contact created.
Once confirmed the transaction will complete.
