Pay Later Process

The of this article is to demonstrate standard function of Pay Later process

  • Commencing a pay later function when a customer has not paid at the time of transaction
  • Closing an open pay later account either when the return with intent to pay or with a future load
  • Administration to the finance and accounts receivable close function of the own amount

This intended for the following target audience;

  • Finance
  • Weighbridge Operator

Commencing a Pay Later

Commencing a pay later function when a customer has not paid at the time of transaction

1. Select the licence plate of the vehicle entering the site

2. Enter the Client and Product, select Print

3. Should the Client not have payment, select the Start Pay-Later button

4. Enter the Driver and Payer details. If they are the same, select the Driver is Payer checkbox

5. Select Ok to proceed

6. Transaction will then finalise and a docket will be printed

Closing a Pay Later account upon vehicle returning

Closing an open pay later account either when the return with intent to pay or with a future load

1. Select the licence plate of the vehicle entering the site

2. Details of the Pay Later will be shown in a pop up message, select Ok

3. Select the Product as Close Pay Later, this is a nil value product which allows the transaction to finalise, select Print

4. Select the payment type received, NOTE: Do not use the Closed to Finance button

5. Select Ok to finalise payment and produce a ticket

Pay Later closure to Finance

Outstanding Pay-Later accounts will need to be captured using Web Based Report. This step is important to record the information prior to ‘Close for Finance’ as the Temporary Account details will no longer be displayed in ticketing.

1. In Web Based Reporting, select Custom Reports, Temporary Account and then Temporary Account for Nat

2. Select the week date range and then Generate Report

3. Using the Licence Plate details from the report, enter these into Ticketing

4. Confirm that the outstanding amount shown in Ticketing matches up with the amount on the report, select Ok

5. Select the Product as Close Pay Later, this is a nil value product which allows the transaction to finalise, select Print

6. Select the payment type Closed to Finance, then Close Pay-Later

7. This will remove the transaction from Ticketing and the report of Temporary Accounts can be sent to finance for debt collection
