How to set a vehicle records to expire after a period of time

The Mandalay system provides an automatic feature that will automatically set a vehicle record to inactive after a period of time has elapsed. There is both a global setting, and an individual vehicle setting that can control this.  The individual vehicle setting will override the global setting. This article explains how to set this up.

Activate Expiry Days

There are two settings that should be enabled in Configuration Manager in order to begin using the vehicle expiry feature. These are described below

  1. Within the Configuration Manager application, open the 'Layout' tab
  2. Within the 'Ticketing Vehicle Options' section, set the 'Vehicle Expiry Days' to the desired number.  This number will determine the amount of days a vehicle is allowed to remain active in the system without a transaction being captured or its record being modified.
  3. Configuration Manager will not save any field values until it has registered that the cursor has been moved outside of the field.  For this reason, before clicking apply, click into the Contact Attendant Message field to move the cursor there.
  4. Click the 'Apply' button.

  2. Within the 'Service' section, ensure that the 'Enable Scheduler' option is enabled.
  3. Click the 'Apply' button
    Note: if the option was not already enabled, the MandalayCS Service will need to be restarted after making this change.

The number of expiry days is the number of days that a vehicle can be in the system without any changes being made to the record.  This includes transactions, as well as changes to the vehicle's settings. When the system finds that a vehicle record has not been changed for the specified period it will be marked as inactive.

Individual Vehicle Overrides

It is possible to override the global expiry period if required. This can be done either in the Ticketing application when the vehicle is created, or in the vehicle settings in the Administration application. The options available for individual vehicles are:

  • Set a different expiry period
  • Force an expiry on the next system vehicle expiry check.
  • Set the expiry check to ignore any transactions in the period.

To override the global expiry and set the expiry on a per vehicle basis:

  1. Open the vehicle tab in the Administration application and select the vehicle you want to edit (or add a new one)
  2. Select the vehicle you want to edit (or add a new one)
  3. Enter the amount of days.  If you want to use the global settings, enter '0'.

Ignore Activity in Period

The Expiry Days feature can also be used to enforce that vehicles are regularly authorised to access a facility. When setting expiry days on a vehicle record, there is an option to ignore activity in period.  This option ignores transactions and enforces that vehicles be authorised on a regular basis to prevent deactivation.

With this option, the expiry days field on the vehicle will count down each day until the last day is reached at which point the system will deactivate the vehicle. An administrator can only prevent this by resetting the vehicle expiry days to the initial value.

  1. Open the vehicle tab in the Administration application and select the vehicle you want to edit (or add a new one)
  2. Select the vehicle you want to edit (or add a new one)
  3. Enter the amount of days.  If you want to use the global settings, enter '0'This option is not recommended if  the site operators are able to create new vehicles in Ticketing. This is because in the event that an operator creates a new vehicle with the same license plate as an expired one, it will reactivate the expired vehicle and this bypass any internal authorisation processes required.
