How to create different prices for clients using price categories

This article shows how to setup pricing for a client or groups of clients that are different from the base rate. This method is good for situations where groups of clients share the same pricing level or if only a few clients need special rates.

Client pricing can also be set using contracts to set a price for a product, however this is generally only recommended for situation where pricing is based on the delivered quantity or where each client has a unique price. There is also no seasonality to contract pricing.

Before prices can be setup a new category must be created for assigning a price to. By default Mandalay has a price category called Base Price. This is a system category and cannot be changed. It should be used to represent the price that a general cash customer will use.

The new price category should be given a name that represents it use. It could be labeled as a tier name if multiple clients share the price or it could be set as the clients name if the price is unique to that client.

To create a price category do the following:

  1. Log into Admin and change to the category tab
  2. Change the filter type for Price.
  3. Click on the Add button to create a new record
  4. Enter the name of the new price category

Once a category is established a price can be set against any product that needs the price variation. Do the following on each product that requires the variation:

  1. Change to the Products tab
  2. Select the product for the price variation
  3. Change the price category to the one you have just created
  4. Enter in a new pricing structure.
  5. Click Apply

Zero Cost Pricing

If a zero price category is required then it must be explicitly created against the product. When entering the price, set it to $0. This is necessary as the system registers no price band for a product then it will automatically fall back to the base price. This is done to ensure that prices are always charged unless explicitly stated.

Default Price Category

Default Pricing is managed through Client Pricing. [There are two methods available for assigning price categories one is to set the price category for each product the other is to set the default price category for a client , as shown above. With this method whenever a product is selected the system will check the price in the default price category of that client. If it cannot ascertain a price from this (ie no price bands configured) it will then fall back to the base price.]

Client Product Price Categories

The second method is to assign a price category to a client only for a specific product and fall back to the client default price category for all others. This method is best for situations where clients will generally only get special pricing on one or two products.

To do this do the following:

  1. From the client pricing tab select the client required.
  2. Select the Price Category against the product you wish to adjust the price for.
  3. Click on the apply button once all price categories have been set.

 Note: If the product does not have price applied then the base price will be used and will show in blue.
