How to create a cartage charge

In Mandalay CS any transaction can have a separate cartage (transport) charge recorded against it. This is an additional fee on top of the product charges, that can be based on either a flat rate, per tonne, per kilometer, per tonne per kilometer, per tonne by band km, and per tonne per km band by km.

A cartage charge is created as a Zone in the system and each of these zones can have a base distance or minimum cartage charge configured for it. You can also configure the price against a Vehicle Configuration, meaning that the price can be based on the type of configuration in addition to the type of cartage rate type. When a ticket is captured and the appropriate Zone is selected the cartage charge will then be added to the transactions.

The following are instructions on how to create a cartage charge.

Note: If the organisation has not used cartage before, a feature setting may need to be activated in Configuration.  Please reach out to our support team should this be required.

Create a Zone

Create a Zone

Start the Administration program and go to the Cartage tab. The click the Add button to create a new Cartage zone.

Name and Code

Name and Code

Enter a name and if necessary a code for the zone.

Nominal Distance

Nominal Distance

The nominal distance is the default distance associated to a zone. This means that if a cartage rate is based on distance then the charge will be based on this distance by default. A prompt for an adjustment to this value can be configured so the operator can adjust it if necessary.

Minimum Cartage Charge

Minimum Cartage Charge

This value sets the lowest amount that can be charge for cartage. If the calculated cartage charge falls below this value then this value will be charged.

Cartage Rate Types

Cartage Rate Types

There are six ways a cartage rate can be charged:

  1. Flat
  2. Per Tonne
  3. Per Km
  4. Per Tonne / Per Km
  5. Per Tonne Band by Km
  6. Per Tonne per Km Band by km

Select the appropriate rate type for this zone.

Flat Rate

Flat Rate

When the flat rate option has been selected click on the Add button to enter the first rate band. This rate bands for Flat rates are based on tonnes. This enables different flat rates to be charged based on the net weight of a load.

In the example there are 3 rate bands the first will charge $25 if the net weight is 1 tonne or under. $50 will be charged if the net weight is between 1 and 5 tonnes. $100 will be charge for any weight over 5 tonnes.

Add any additional rate bands if necessary.

Note: Price bands are not accumulative so only one rate band will be applied.

Per Tonne Rate

Per Tonne Rate

When the per tonne option has been selected click on the Add button to enter the first rate band. This rate bands for per tonne are based on tonnes. This enables different per tonne rates to be charged based on the net weight of a load.

In this example there are 2 rate bands. The first band will apply a $2.50 per tonne for any net weight loads up to 5 tonnes and the second band will charge $1.50 per tonne for any loads over 5 tonnes.

Add any additional rate bands if necessary.

Note: Price bands are not accumulative so only one rate band will be applied.

Per Kilometer Rate

Per Kilometer Rate

When the per kilometer option has been selected click on the Add button to enter the first rate band. This rate bands for per km are based on kms for the cartage. This enables different per km rates to be charged based on the total distance of the delivery.

In this example there are 2 rate bands. The first band will apply a $5 per km for any cartage distances of up to 10 km and the second band will charge $55 per km for any loads over 10 km.

Add any additional rate bands if necessary.

Note: Price bands are not accumulative so only one rate band will be applied.

Per Tonne Per Kilometer Rate

Per Tonne Per Kilometer Rate

When the per tonne per kilometer option has been selected click on the Add button to enter the first rate band. This rate bands for per tonne per km are based on total tonnes for the load. This enables different per tonne per km rates to be charged based on the net weight of of the load.

In this example there are 2 rate bands. The first band will apply a $1.5 per tonne and then charge the result of that against the distance for any net loads up to 5 tonnes and the second band will charge $0.50 per tonne and then charge the result of that against the distance.

An example of this would be if a load weighs 10 tonnes and the distance is set to 10 km then the $0.50 rate bands will be used and the cartage will be calculated as $0.50 x 10 tones x 10 km = $100 .

Add any additional rate bands if necessary.

Note: Price bands are not accumulative so only one rate band will be applied.

Per Tonne Band by km

When the Per Tonne Band by km has been selected, click on the Add button to create the first rate band. This rate basis applies the cartage per tonne depending on the distance. The greater the distance, the higher the rate per tonne for cartage will be.

As an example of this would be if a load's net weight was 20 tonnes and the distance traveled was 17km's, the cartage rate would be $7 x 20 tonnes = $140.00

Per Tonne Per km Band by km

When the per tonne per kilometer by band by km option has been selected click on the Add button to enter the first rate band.

Cartage in Ticketing

In order for Zones to appear in ticketing, users can contact Mandalay's support team to configure cartage in the Ticketing Application.

Cartage in Ticketing
  1. Zone is yellow so is a mandatory element of a transaction
  2. The distance has been prompted for
  3. This Zone is set as a flat rate so it is automatically applied to the transaction in the cartage field.
