Resident Management - User Permissions

Overview

This document explains the purpose of each user permission found in the Groups settings within Resident Management.

NOTE: To access User Groups and Permissions you will need the “VMSProductAdmin” role granted in the naus Platform. Contact your naus Platform administrator to arrange access.

To access Group permissions, log into Resident Management and select Groups from the left-hand menu.

User Permissions are configured per user group.

To edit the permissions on a specific user group, click the actions button (…), and select Edit.

On the Edit Group page, there are a list of permissions available:

A detailed explanation of each permission type has been provided below. Permissions have been grouped into the following areas:

VOUCHER MANAGEMENT

Voucher Look Up

This permission enables the Voucher Lookup page, linked on the left-hand menu.

Once the 18-character voucher code is entered, the voucher details are displayed with links to the voucher history pop up and view property page.

 

Issue Voucher

This permission enables issuing vouchers via the Property page.

For the green “Issue Voucher” button to be displayed, they must have vouchers available i.e., not used or issued to a previous assignee.

 

Override Voucher

This permission enables issuing a voucher, despite no vouchers being available.

For this button to appear, the user needs the permission enabled, and no vouchers available to be issued.

NOTE: When a voucher is issued via the override button, there are two fields that need to be populated -  Reason Code and Reason Description. These values are captured for reporting, and displayed in voucher history details.

 

Cancel Voucher

This permission enables the user to cancel an issued or partially used voucher via the voucher history or property history page.

Note:You cannot cancel fully used or expired vouchers

 

MANAGE PROPERTIES

Properties

This permission will enable the Properties link in the left-hand menu and allows searching for and viewing a property.

 

Add Property

This permission allows adding a property via the Add New Property button.

After selecting the Add Property button, the below page will display.

Note:Fields marked with a * are mandatory and the PIN must be unique. If a Property Tag is not added, then the property may not be eligible for some Programmes.

 

Edit Property Tags

While viewing the details of a property there will be an extra button to edit the property tags. Clicking this button will open a new page where property tags can be added or removed.

 

BULK WASTE BOOKINGS

Process Request

This permission enables a user to manage Bulk Waste Bookings requests.

On the Open Requests page, the user will have the “Process” option available on clicking the actions button on a specific bulk waste request.

To process a request, click the (…) button, and then Process.

The user can then Approve or Reject the selected Bulk Waste Bookings request.

 

SYSTEM SETTINGS

Settings

This permission will enable three settings within the left-hand menu:

 

System Configuration

When Reprint Voucher Requires Reason is selected, when a voucher is reprinted, a pop-up will appear asking the user to provide a Reason Description and select a Reason Code.

These values are stored in the Database and displayed in the Audit report.

 

Relationship Types

This setting enables 3 different types of property relationship types:

  • Resident
  • Ratepayer
  • Community Group.

Once a Relationship type is enabled, then the user can set whether:

  • That relationship type can be added to multiple properties or just one
  • A property can have multiple relationships to that property of that type, or just one.

Default relationship type (Selection)

When a new property assignee is added, then the selected default relationship type will be pre-selected.

 

View Account Details

Note:This permission requires the Properties permission to be enabled also.

When enabled, a button on the Property page will appear as per below:

Clicking it launches a pop up, where the Ratepayer/Resident’s account details are displayed to the user.

 

REPORTING

Insights

This permission enables the Insights page, linked in the left-hand menu.

Programme Insights is a report about Programme and Voucher usage.

 

Audit Reporting

This permission enables the Audit report, linked in the left-hand menu. The Audit report displays user actions within Resident Services.

 

Self Service Reporting

When enabled, the Self-Service link is displayed in the left-hand menu. The report:

  • displays data on the verification process
  • highlights the following:
    • failures
    • how many vouchers have been issued
    • property relationships added
