Resident Management - Group Permissions Explained

Overview

Permissions that have been assigned to a group will determine what a user can access and the actions they can take within Resident Management. In this article we provide an overview and purpose of each permission available within Group settings.

ACCESS CONTROL

Access Control permissions will only be relevant if your Council uses the Resident Access Control (RAC) programme.

   

Maintain Access Code

Enables users to view and edit property access codes when using the Resident Access Control (RAC) programme.

Once enabled, an Issue Access Code button will be available within the Resident Access Control programme on properties where a code has not been issued.

Once an access code has been issued, the permission also allows a user to change or revoke the code.

ACCOUNTS

Account information is available on the Property Details page. Here you can see the relationship a community member has with a property and the entitlements they are eligible to use.  

To see Account information a user will need to belong to a Group that also has the Properties permission assigned.

     

View Account Details

When enabled, additional buttons will appear on the Property Details page.

Create Account: will allow the user to create a new relationship at the property.

Show Relationship: provides information about the relationship and the ability to end a relationship.

Show Account: provides information about the account holder.

BULK WASTE

Bulk Waste permissions will only be relevant if your Council uses the Bulk Waste Bookings programme.

This group of permissions will allow users to manage information and settings across the bulk waste programme.

     

Process Request

Enables a user to manage Bulk Waste Booking requests. Once enabled, the user will be able to Approve or Reject an Open (or “Pending”) Request.

1/- A Process option will become visible within the actions list when you click on the ellipsis (…) at the end of a booking.

2/- Clicking Process will open the Bulk Waste Request page where the user can add additional information (images, comments), or update the requested booking date.

   

Bulk Waste Booking

Once enabled, the Bookings tab will be visible within the left-hand menu and a Book button will appear on the Property Details page.

1/- The Bookings By Date page will allow users to view a list of all bookings with either a Booked, Completed or Closed status.

2/- The Book button will allow users to make a Bulk Waste Booking on behalf of a resident. The button will be visible within the Accounts area of the Property Details page, if there are entitlements available.

   

Bulk Waste Capacity Override

A daily booking capacity limit can be configured within the bulk waste programme settings.

When enabled, this permission will allow a user to override the capacity that has been set. For example, if the daily booking capacity has been set at 10 and 10 bookings have already been made, a user with this permission will be able to make an extra booking for that day.

 

Bulk Waste Day Eligibility Override

Booking availability limits can be linked directly to a particular day of the week within the bulk waste programme.

When enabled, this permission will allow a user to override the day of the week that has been set. For example, if bookings can only be made on a Tuesday, a user with this permission will be able to make a booking on another day (i.e. Wednesday).

 

Bulk Waste Assignee Entitlement Override

When enabled, a user will be able to make additional Bulk Waste Bookings in addition to the entitlement limit that has been set within the programme. For example, if a resident is eligible to make 2 bookings per year (season), this permission will allow a user to issue a third booking.

 

Zones

Enables a user to configure zones for a Bulk Waste programme. Once enabled, a Zone Configuration tab will appear in the left-hand menu also.

 

Add Exception Dates

Enables a user to add exception dates to control availability within a Bulk Waste programme. For example, public holidays can be added so that bookings cannot be made on those dates.

   

Delete Exception Dates

Enables a user to remove exception dates from a Bulk Waste programme.

 

Bulk Waste Request

Once enabled, the Open Requests tab will be visible within the left-hand menu. This tab will allow a user to view Bulk Waste booking requests.

1/- The Open Requests tab will provide a list of all current booking requests.

2/- A View option will become visible within the actions list when you click on the ellipsis (…) at the end of a booking.

BULK WASTE BOOKING

Bulk Waste Booking permissions will only be relevant if your Council uses the Bulk Waste Bookings programme.

This group of permissions will allow users to manage individual bookings.

   

Bulk Waste Booking Update

Enables a user to edit Bulk Waste Bookings. Once enabled, the user will be able to add images and comments to the booking or change booking dates.

1/- An Edit option will become visible within the actions list when you click on the ellipsis (…) at the end of a booking.

2/- Clicking Edit will open the Edit Booking page where the user can add additional information (images, comments), or update the booking date.

   

Bulk Waste Booking Complete

Enables a user to push bookings into a Completed status. The user will be required to assign a reason code for the completion (from an existing list) and provide further information about the status change.

Note: The completed status is an interim step before the booking is Closed.

1/- Once enabled an actions list will become available when you click on the ellipsis (...) at the end of a booking.

2/- A Mark as Completed button will be visible on the Close Bulk Waste Booking page by clicking on the Edit action.

   

Bulk Waste Booking Close

Enables a user to update bookings to a Closed status. The user will be required to assign a reason code to the booking (from an existing list).

Note: The closed status is the final status of a booking.

1/- Once enabled an actions list will become available when you click on the ellipsis (...) at the end of a booking.

2/- A Close Booking button will be visible on the Close Bulk Waste Booking page by clicking on the Edit action.

   

Bulk Waste Booking Cancel

Enables a user to cancel bookings. The user will be required to assign a reason code (from an existing list) and a description to the booking.

1/- A Cancel option will become visible within the actions list when you click on the ellipsis (…) at the end of a booking.

2/- Clicking Cancel will open a Cancel Booking pop-up window.

EXPORT REPORTS

Export Reports permissions will give users the ability to export information from Resident Management.

     

Export Bookings

Enables a user to export Bulk Waste Booking information so that it can be provided to Council’s collections contractor. The Export button will be visible on the Bookings page when a single date is selected.

MANAGING AGENCIES

Managing Agencies permissions will only be relevant if your Council uses Tenant Verification within the Voucher Self Service programme.

This group of permissions will allow users to manage information related to Managing Agents (Real Estate Agents).

     

Managing Agencies

Once enabled, the Managing Agencies tab will be visible within the left-hand menu. This tab will allow the user to view a list of Managing Agencies.

     

Add Managing Agencies

Once enabled, an Add New Agency button will be visible on the Managing Agencies page.

   

Edit Managing Agencies

Enables a user to edit existing Managing Agents.

An Edit option will become visible within the actions list when you click on the ellipsis (…) at the end of a Managing Agent.

   

Delete Managing Agencies

Enables a user to delete an existing Managing Agent. The user will be required to assign a reason code (from an existing list) and a description.

A Delete option will become visible within the actions list when you click on the ellipsis (…) at the end of a Managing Agent.

PROPERTIES

Properties permissions will give users the ability to manage properties and entitlements relevant to the programmes your Council uses.

     

Properties

Once enabled, the Properties tab will be visible within the left-hand menu. This tab gives the user access to all information related to properties, including detailed information about a property, eligible entitlements, and relationships with members of the community.

1/- The user will be able to type in a property address or property number and then choose the property from the dropdown list.

2/- This will open the Property Details page for that address, where the user can view information related to that property.

   

Edit Property Tags

Enabling this permission will allow the user to edit tags on a property. Once enabled, a new Edit Tags button will be visible on the Property Details page that will allow the user to add or remove tags from a property.

   

Add Properties

Will allow users to add properties. The Add New Property button will be visible on the Properties tab once this permission has been enabled.

   

Edit Properties

Will allow users to edit property information. The Edit Property button will be visible on the Property Details page once this permission has been enabled.

   

Delete Properties

Will allow users to delete properties. The Delete Property button will be visible on the Edit Property page once this permission has been enabled.

A user will need to belong to a Group that also has the Edit Properties permission assigned.

1/- To delete a property, first click on the Edit Property button.

2/- The Delete Property button will be visible on the Edit Property page.

   

Edit Property Zones

Will allow users to edit property Zones. The Edit Zones button will be visible on the Property Details page once this permission has been enabled.

REPORT TEMPLATES

This group of permissions will allow users to manage the information that is included within export reports.

   

Report Templates

Once enabled, the Report Templates tab will be visible within the left-hand menu.

   

Add Report Templates

Will allow users to Add new export templates. The Add New button will be visible on the Report Templates page once this permission has been enabled.

   

Edit Report Templates

Will allow users to Edit existing export templates. There will be an Edit link visible on each Export Template once this permission has been enabled.

   

Delete Report Templates

Will allow users to Delete existing export templates. The Delete button will be visible on the Template Details page once this permission has been enabled.

A user will need to belong to a Group that also has the Edit Report Templates permission assigned.

1/- To delete an export template, first click on the Edit link.

2/- The Delete button is available at the bottom of the Report Templates page.

REPORTING

This group of permissions will allow users to access the various insights dashboards and reports that are available within Resident Management.

 

Insights

Once enabled, Insights will be visible within the left-hand menu. By clicking on the Programme Insights tab, the user will be able to access insights reports for active programmes, e.g. Voucher Management, Bulk Waste Bookings or Resident Access Control programmes.

   

Audit Log View

Enabling this permission will allow the user to view an audit log of changes for a particular property. Once enabled, an Audit Log button will be visible on the Property Details page.

   

Self Service Report

Once enabled, the Self Service report will be visible within the left-hand menu.

Audit Report

Once enabled, the Audit report will be visible within the left-hand menu giving the user access to a report that displays user actions within Resident Management.

TENANT VERIFICATION

Tenant Verification permissions will only be relevant if your Council uses Tenant Verification within the Voucher Self Service programme.

This group of permissions will allow users to manage information related to verification requests received from tenants.

   

Process Tenant Request

Enables a user to process Tenant Verification requests. Once enabled, the user will be able to Approve or Reject a Request.

1/- A Process option will become visible within the actions list when you click on the ellipsis (…) at the end of a tenant verification request.

2/- Clicking Process will open the Tenant Verification page where the user can Accept or Reject a verification request.

   

View Tenant Request

Once enabled, the Tenant Verifications tab will be visible within the left-hand menu. This page will allow the user to view Tenant Verifications that have taken place via the Resident Services Portal.

VOUCHERS

Voucher permissions will only be relevant if your Council uses the Voucher Management programme.

This group of permissions will allow users to manage individual vouchers.

   

Voucher Look Up

Once enabled, the Vouchers tab will be visible within the left-hand menu. The Vouchers page will allow users to search for vouchers using the voucher code.

 

Override Voucher

Enables users to issue vouchers when there are no vouchers available for use. Once enabled, an Override Voucher button will be visible on the Property Details page.

1/- The Override Voucher button will be visible within the Accounts area of the Property Details page, if there are no entitlements available.

 

Cancel Voucher

Enables users to cancel an issued or partially used voucher via the voucher history or property history page. Vouchers that have been fully redeemed (used) cannot be cancelled.

1/- Click on either the View History button at the top of the Property Details page or the View History button within the Accounts panel.  

2/- Once enabled, a Cancel option will become visible within the actions list when you click on the ellipsis (…) at the end of a row.

 

Redeem Voucher

Enables a user to redeem a voucher use without the voucher being scanned at a facility.

1/- Click on either the View History button at the top of the Property Details page or the View History button within the Accounts panel.  

2/- Once enabled, a Redeem option will become visible within the actions list when you click on the ellipsis (…) at the end of an entitlement.

   

Issue Voucher

Enables a council user to issue Vouchers to a resident.

1/- Once enabled, an Issue Voucher button will be visible within the Accounts area of the Property Details page, if there are vouchers available.
